The company focuses on urban apartment living in the Atlantic Seaboard and City Bowl of Cape Town.Overview:The role entails coordinating, management and administering elements of specific company projects from the launch phase of a project, during construction and through to snagging post completion. It focuses on Project Management and aspects of the Principal Agent within the development space. The role requires detailed attention to managing the cost, quality and returns on the projects whilst ensuring compliance and improvements to the established internal processes. This would encompass a variety of key functions being site administration, programme management, budget management and coordination, quality control and key company decision making on site and within project and professional coordination.Duties
Site Administration
1.1. Serve as primary representative for the company on site and coordinate teams in terms of site decisions, programme, costing and quality control
1.2. Administration and distribution of weekly site meeting minutes and reports
1.3. Ensuring all deadlines and commitments are executed in line with agreed deadlines
1.4. Running and coordination of key professional meetings
1.5. Contract Management coordination and oversight with consultants and professional team , in terms of contract and fee management and professional indemnity across the 6 stages of a project
1.6. Site Systemisation and process development – best possible information flow and sharing
1.7. Neighbour Management: Administering the communication towards neighbouring properties directly affected by our developments. Includes dilapidation reports, snag rectification, general notices.
1.8. Building Snag and post transfer construction coordination.2. Time // Programme
2.1. Construction Performance and Milestone Management for contractor and professional consultants
2.2. Performance manage project efficiency throughout the project
2.3. Building Methodology and Strategies
2.4. Programme Systemisation and process development – best possible information flow and sharing
2.5. Contributing to the risk analysis of project critical paths
2.6. Manage key professionals in terms of deadline management
2.7. Monthly project reporting on construction programme
2.8. Inform the company Team of any programmatic changes and updates as and when they materialise
2.9. Project management of development handovers: confirming handover schedule for Brokerage to handover and managing the updates should anything change.3. Cost // Budget
3.1. Managing with the pre-launch of new developments with quantity surveyor and proposed professional consultants to manage the Pre-Launch development financial planning and build budget per project
3.2. Ongoing contribution to managing the cost of design, including the analysis of the design and specifications
3.3. Monthly project reporting on project budget including the preparation of variation control management
3.4. Ongoing budget performance and risk management
3.5. Cost Systemization and process development – best possible information flow and sharing
3.6. Liaising and sign-off on QS reports and estimates and monthly PPS which includes assisting with the preparation required for monthly drawdowns from the banks, and ensuring all the company expenses are included in the monthly claims.
3.7. Cash Flow forecasting and submitting any costs (outside the scope of key contract) for bi-monthly cash flow.4. Quality & Snagging
4.1. Building Design Quality Management prior to construction (detail design)
4.2. Conducting weekly site visits and manage product quality on site, advising/recommend changes
4.3. Help team in key design detail decisions
4.4. Manage product quality on site and advise/recommend changes
4.5. Represent the company on site, holding everyone to account and coordinate professionals and teams when necessary
4.6. Management of quality of the key role players (professional consultant team)
4.7. Informing the company of any spec changes and design amendments
4.8. Building and apartment pre-handover snag rectification and coordination and ensuring the customisation design is being implemented on site during the build
4.9. Assist in building snag rectification and coordination after handover and transfer
4.10. Maintaining and administering systems and processes regarding snagging
4.11. Coordination of legacy snagging5. Project Administration
5.1. Administer project insurance, wayleaves and permits (executed by the contractor)
5.2. Building services and communal space handover assistance to Brokerage and Development Teams
5.3. Ensuring that occupancy for the building is granted timeously
5.4. Gathering building handover documentation: as-built drawings; Occupancy and Compliance Certificates; project warranties and manuals; project specification
5.5. Maintain building acts, regulations and standards during the design and construction phases6. Reporting Requirements
6.1. Monthly Project Report
6.1.1. Includes programme,budget and contract reporting
6.2. Monthly Snag Report
6.3. Weekly Task Reporting
6.4. Contributing to the Shareholder Report
6.5. Weekly Contributions to Project Tactical Meetings and External Project Meetings
7. Other
7.1. Digitizing and hard copy filing where necessary
7.2. Any and all ad-hoc items as the company sees fit
7.3. Preparation of any presentations required
