As a Portfolio Assistant, you will provide essential administrative support and manage day-to-day operations related to clients' portfolios. You will act as the backbone of client service management, ensuring all administrative tasks are performed meticulously and efficiently. Your role is crucial in maintaining the integrity of our service delivery, directly impacting client satisfaction and retention.Qualifications Required:
  • A relevant degree or diploma in Financial Services, Payroll/HR, Accounting, Legal, or Insurance.
  • At least 2 years of relevant experience in similar roles within the financial services industry.
Key Responsibilities:
  • Record Keeping and Administration:
  • Maintain comprehensive administrative records for each client.
  • Handle all forms of written communication, manage the compilation and maintenance of client benefits summaries, and ensure all standard documents are timely issued.
  • Oversee the administration of retirement funds and group risk arrangements, ensuring all protocols are followed and deadlines are met.
  • Client Relationship Management:
  • Serve as the primary point of contact for stakeholders, effectively managing relationships and addressing queries to enhance client and member satisfaction.
  • Organize and coordinate presentations and workshops for management committees as required.
  • Maintain ongoing interaction with clients, ensuring all communications are professional and responses timely.
  • MANCO Meetings and Stakeholder Coordination:
  • Schedule and prepare for management committee meetings, ensuring all preparatory materials like agendas and minutes are handled accurately and punctually.
  • Facilitate communication and coordination among internal teams to optimize service delivery and client outcomes.
Technical and Behavioural Competencies:
  • Strong knowledge of the Employee Benefit Industry and related legislation (Pension funds, FAIS).
  • Advanced relationship-building skills, excellent communication abilities, and proficiency in multitasking and delegating.
  • Behavioural traits such as confidence, resilience, accountability, and a strong business sense are essential.
