- Act as day- to-day relationship lead for allocated client groups, ensuring all fund administration tasks are carried out and client service levels are maintained.
- Conduct onboarding and ongoing risk reviews of investors and promoters.
- Arrange and coordinate client Board meetings, prepare Board packs, track actions arising.
- Attend and minute Board meetings.
- Liaise with client and fund Boards, dealing with queries in an efficient manner.
- Review and approve client Board packs before distribution.
- Conduct closings for closed-ended funds/admittance of investors and undertaking of customer due diligence.
- Set up of open-ended funds, closed-ended funds structured as companies/limited partnerships.
- Prepare, handle and keep records and trackers of fund subscriptions and distributions.
- Maintain drawdown/distribution trackers and updating share registers.
- Attend to statutory and regulatory filings of allocated client groups within the prescribed deadlines.
- Circulate quarterly management accounts or capital account statements to investors, as required.
- Maintain comprehensive and up to date client, business and transaction records on interaction with clients at all times.
- Document filings, update client information on relevant internal systems.
- Act as a signatory on behalf of the Company.
- Review and approve payments for various fund expenses.
- Liaise with external parties such as Bankers, Lawyers and Regulatory bodies.
- Ensure timely billing of Maitland fees.
- Assist with training of junior members of staff and oversee junior team members on a day-to-day basis.
- Develop and maintain relationships with internal departments of the Group including Compliance, Accounting, Onboarding etc.
- Communicate effectively with all levels of management, other departments, business areas and clients.
- Daily and effective input on time management system.
- Attend client meetings with Manager as and when required.
- Ensure compliance with internal systems, procedures and processes.
- Other tasks as agreed.
- Experience of Company Secretarial Function.
- Basic understanding of Financial Statements process.
- Knowledge of Guernsey Statutory and Regulatory requirements.
- The individual will need to be self-motivated, conscientious and able to work to and meet tight deadlines as well as being able to ensure work is completed to a high standard.
- It is essential the candidate is reliable and flexible as far as working hours are required.
- Good communication skills and ability to communicate well at all levels both internally and externally.
- Excellent computer skills, in particular Word and Excel, are an essential requirement.
- 5-10 years proven financial services industry experience with an emphasis on fund administration.
- Ideally be studying towards or hold a relevant professional qualification (e.g. ICSA Certificate level or equivalent).
