- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
- Answering screening, forwarding incoming phone calls.
- Receiving and sorting daily mails.
- Assisting compiling and monitoring the implementation of an annual organisational calendar which has key activities.
- Assisting managing the planning and hosting of organisational wide functions and events, includes strategic planning sessions and year end functions.
- Receiving and coordinating all daily tender enquires downloaded from various tender sources and forward to relevant parties.
- Coordinating BBBEE verification process and make sure B-BBEE is updated.
- Providing high quality and accurate typing service to other Business verticals, compiling reports/documents, letters, memos and designing presentations as required by other verticals.
- Preparing and distributing agendas, minutes, and documentations packs for staff meeting.
- Maintaining the management team contact list and databases of stakeholders to ensure the contact lists and databased are up to date.
- Attending some meeting with the directors and take notes and minutes, as and when required.
- Carrying out research tasks so that information is available on request.
- Proven work Experience as a receptionist, front office representative, or similar.
- Minimum of 3 – 5 years’ experience.
- Excellent telephone etiquette skills and switchboard operation.
- Excellent typing skills, at typing speed thirty-five (35 words) per minute
- Excellent verbal and writing communication skills.
- Minute Taking.
- Advance Computer literacy in MS Office packages – Advance Excel, Word, PowerPoint, and Outlook
- Excellent Research and information gathering and analysis skills.
